Job Description for Office Manager/Victim Service Assistant

The Office Manager/Victim Services Assistant is a full-time, hourly position located at the Four Corners Child Advocacy Center. This position reports to the Executive Director.
The Office Manager/Victim Services Assistant is a major player with a very significant and pivotal role with our agency.
 
GENERAL DUTIES:
• Responsible for accounts payable, accounts receivable, payroll, and producing financial statements using QuickBooks for non-profits;
• Professionally handles phone calls and walk-in traffic;
• Maintain donor database;
• Compose and send Thank you letters for donations and fundraiser events;
• Manage volunteer coordination;
• Organize and maintain administrative files;
• Schedules forensic interviews via law enforcement and child protective services as requested; • Schedules medical exams as requested;
• Schedule therapy appointments, as needed;
• Assist Victim Advocate when needed in preparing intake case files for interviews and/or medical exams;
• Assist Victim Advocate as needed in entering new cases into our case database system;
• Assist Victim Advocate in watching children in waiting room during the interviews;
• Assist Victim Advocate as needed in sorting and putting away donations;
• Enter case updates as requested by the Victim Advocate and Therapist;
• Coordinate data for the Executive Director for grant reporting purposes; and
• Coordinate with the Executive Director with producing needed documentation;
• Handles minor maintenance and care of the facility;
• Booking meeting room, coordinate refreshments, as needed;
• Maintain a pleasant office environment; including clean, healthy and safe physical environment and positive emotional environment;
• Other duties as assigned. Coordinate activities of the Multi-Disciplinary Team process
• Prepare meeting packets; including agenda, minutes, and supplemental handouts
• Gather necessary information from team members throughout the month
• Distribute materials in a timely manner to all members of the team
• Prepare for meeting; including coordination of lunch for meeting
• Procure professional surveys at a regular interval If the Victim Advocate is not available, this position:
        • Provides initial crisis support for child abuse victims when they arrive for forensic interviews                       and/or pediatric medical evaluations;
        • Assists victims in filling out all necessary intake paperwork in the absence of Victim Advocate;
        • Provides Parental Packet of information to families;
        • Provides a report to Victim Advocate regarding what was provided to the victims during the visit.
        • Provide court support and court education, when appropriate.
 
Accepts additional assignments from the Executive Director and/or Victim Services Coordinator when necessary.
 
REQUIRED SKILLS AND EDUCATION:
• Knowledge of bookkeeping/accounting practices;
• Working knowledge of QuickBooks for Nonprofits;
• Ability to work with a variety of individuals including families in crisis, law enforcement personnel, and child protective service workers;
• Highly motivated, flexible, reliable and a team player;
• Excellent organizational skills and very detail oriented;
• Coachable, self-aware, and open to feedback to improve development skills;
• Proficient computer skills; specifically Microsoft Word, and Excel;
• Working knowledge of office systems and equipment;
• Ability to work efficiently with minimal supervision;
• Ability to manage and prioritize multiple tasks;
• Excellent verbal and written skills;
• Willingness to learn about the child abuse system and family dynamics of child abuse;
• Reliable transportation;
• Willingness and ability to travel for out of town and/or out of state trainings;
• Must pass a thorough background investigation
• Three years’ experience in administrative support work preferred.

This is a full-time position   Pay $18-20/hour
